How quickly can you get a WMS for your webshop?

When choosing a WMS for your webshop, make sure you have a clear understanding of the supplier’s implementation process before signing a contract. Implementation is arguably the most challenging – and riskiest – phase of a WMS project. Everyone in the industry has either heard or can share a WMS implementation story that was delayed or massively over budget… and sometimes both.

The good news is that Tecsys has a webshop WMS designed to go from initial scoping interview to live in 28 days. When customers hear that timeframe, we’re always asked, “How is that possible?”

Let me walk you through the steps and processes Tecsys uses to implement WMS in 28 days.

Implementation plan for webshop WMS

At Tecsys, we divide the implementation into four phases. Each phase is seven working days and has a checkpoint at the end to ensure the project is on track. The phase must be completed successfully before moving on to the next phase.

Phase 1: Understand your business and project scope

At the start of an implementation project, it is very important for Tecsys to learn about your business and, in collaboration with you, to define how the system will support your inventory management. Below are the steps we go through in phase one:

Phase one is marked as completed when both parties have agreed on a SOP (Standard Operating Procedures) for the warehouse and an implementation plan with tentative dates and names assigned to each task.

Phase 2: Build system data, configuration and interfaces

Using all the information we collected in phase one, Tecsys builds your webshop WMS while you or your system integrator builds the ERP/webshop integration. Here are the steps to phase two:

Phase two is marked as completed when both parties have agreed that all data are correctly carried over and the master tables are correctly loaded.

Phase 3: Test the system and processes, train key staff

Now the webshop WMSs are built and the data is in place. The next step is to test and train key warehouse staff as super users. Below are the steps in phase three:

Phase 4: Roll-out and training of remaining staff

The webshop WMS go-live is the final phase of the implementation plan. Below are the steps involved in phase four:

All warehouse workers are trained by the internal super users and live simulated transactions are tested in the system. When everyone is ready, the system resets and is ready to go live.

The whole team performs a stock count. After completion, the system is put into live mode.
